Handpick & Warehouse Supervisor

Working Pattern: Monday to Friday

Normal Hours: 08:00–16:00 during summer hours / 09:00–17:00 during winter hours

Salary: £30,000–£35,000 per annum, dependent on experience and suitability for the role.

Role Purpose

The Handpick & Warehouse Supervisor is responsible for the day-to-day operation, commercial performance and continued growth of The Hub Vintage Wholesale's Men's Handpick department.

The role combines customer-facing sales with hands-on warehouse supervision. The successful candidate will manage customer appointments, develop customer relationships, generate new and repeat business, maintain the Men's Handpick stock offering and ensure a high standard of service throughout the buying experience.

Alongside the Handpick operation, the Supervisor will act as a senior member of the warehouse team, coordinating warehouse staff and day-to-day workflow under the direction of the Operations Manager.

This is a hands-on position for an ambitious individual who wants significant responsibility and the opportunity to develop alongside a growing business. The successful candidate will be expected not simply to maintain the existing operation, but to identify opportunities, generate business and actively drive the Men's Handpick department forward.

1. Men's Handpick Sales & Commercial Performance

The Supervisor will take day-to-day ownership of the Men's Handpick operation and will be responsible for:

  • Maintaining a baseline Men's Handpick sales target of £40,000 per calendar month.

  • Actively working to increase sales beyond the baseline target.

  • Maximising the commercial value of available appointment capacity.

  • Identifying opportunities to increase average customer spend and repeat business.

  • Developing strong relationships with existing Handpick customers.

  • Following up previous customers and prospective customers where appropriate.

  • Proactively filling gaps in the appointment diary.

  • Identifying new sales opportunities and communicating these to the Operations Manager.

  • Understanding which products, categories and styles customers are actively seeking.

  • Providing regular feedback on customer demand and commercial opportunities.

The £40,000 monthly target should be regarded as a baseline performance target rather than a sales ceiling.

2. Customer Appointments & Experience

The Supervisor will be responsible for providing a professional and knowledgeable customer experience throughout Men's Handpick appointments.

Responsibilities include:

  • Welcoming customers to the warehouse.

  • Preparing for scheduled appointments.

  • Understanding each customer's requirements.

  • Helping customers locate suitable stock.

  • Recommending products, categories and alternatives.

  • Providing appropriate product and pricing information.

  • Building strong professional relationships with customers.

  • Ensuring customers receive attentive service without unnecessary pressure.

  • Encouraging repeat appointments and long-term customer relationships.

  • Accurately counting selected stock.

  • Preparing the final order for payment.

  • Taking and confirming payment before goods leave the warehouse.

  • Ensuring completed sales are correctly recorded.

The Supervisor should develop a strong understanding of regular customers, their businesses and the types of stock they typically purchase.

3. Customer Enquiries & Appointment Management

The Supervisor will manage enquiries relating to the Men's Handpick department across the company's relevant communication channels.

This includes:

  • Responding professionally and promptly to customer enquiries.

  • Managing Handpick enquiries received through email and social media.

  • Converting suitable enquiries into appointments and sales.

  • Managing and maintaining the Men's Handpick appointment diary.

  • Confirming appointments with customers.

  • Following up suitable leads.

  • Re-engaging previous customers where commercially appropriate.

  • Proactively contacting customers when appointment capacity is available.

  • Maintaining appropriate records of customer conversations and bookings.

The role requires a proactive approach. The Supervisor should not rely solely on incoming enquiries to generate sales.

4. Pricing & Commercial Negotiation

The Men's Handpick department will operate using an established commercial price list.

The Supervisor will:

  • Apply the agreed pricing structure consistently.

  • Clearly communicate pricing to customers.

  • Protect appropriate commercial margins.

  • Use reasonable commercial judgement when dealing with significant customers or larger orders.

  • Negotiate customer-specific terms where appropriate and within their authority.

  • Escalate unusual, high-value or commercially significant arrangements to the Operations Manager where necessary.

5. Stock Management & Presentation

The Supervisor will take day-to-day responsibility for ensuring that the Men's Handpick department remains commercially attractive, organised and appropriately stocked.

Responsibilities include:

  • Maintaining an organised and presentable Handpick area.

  • Ensuring stock is appropriately displayed and accessible to customers.

  • Coordinating replenishment of Handpick stock.

  • Monitoring which categories are selling strongly or poorly.

  • Identifying gaps within the stock offering.

  • Reporting customer requests and emerging demand to the Operations Manager.

  • Supporting appropriate stock rotation.

  • Ensuring the department is prepared ahead of customer appointments.

  • Maintaining appropriate housekeeping standards throughout the area.

The Supervisor should continually consider how the stock offering and customer experience can be improved.

6. Warehouse Supervision

In addition to the Men's Handpick operation, the Supervisor will provide day-to-day supervision of warehouse staff.

This will include:

  • Allocating and coordinating daily warehouse tasks.

  • Communicating priorities clearly to warehouse staff.

  • Monitoring completion and quality of assigned work.

  • Ensuring website picking and packing activity is completed efficiently.

  • Monitoring workload and reallocating staff where necessary.

  • Supporting the Operations Manager in maintaining warehouse productivity.

  • Providing appropriate instructions and guidance to staff.

  • Addressing minor day-to-day performance issues.

  • Escalating persistent or significant performance concerns to the Operations Manager.

  • Maintaining appropriate standards of conduct, organisation and housekeeping.

  • Acting as a senior operational point of contact within the warehouse when required.

Overall responsibility for formal staff performance management remains with the Operations Manager.

7. Website Order Fulfilment

The Supervisor is responsible for ensuring that warehouse staff complete website picking and packing requirements correctly and efficiently.

The Supervisor is not primarily employed as a picker or packer.

However, as a hands-on member of the team, they may provide practical assistance with picking, packing and other warehouse activities during quieter periods or when operationally necessary.

8. Social Media & Lead Generation

The primary social media responsibility of the Supervisor is to support customer communication and lead generation.

This includes:

  • Responding to relevant social media enquiries.

  • Converting enquiries into appointments where possible.

  • Following up potential customers.

  • Identifying opportunities to promote Men's Handpick availability.

  • Providing occasional simple content showing new stock, the Handpick area or other commercially useful material.

  • Supporting wider marketing activity where appropriate.

Content creation is a supporting responsibility rather than the primary purpose of the position.

9. Health, Safety & Warehouse Standards

As a warehouse supervisor, the successful candidate will be expected to support the company's health and safety arrangements and lead by example.

This includes:

  • Following company health and safety policies and procedures.

  • Ensuring staff follow applicable warehouse procedures.

  • Maintaining clear and safe working areas.

  • Reporting hazards, incidents, damaged equipment or unsafe practices.

  • Ensuring appropriate protective clothing and equipment is used where required.

  • Escalating health and safety concerns to the Operations Manager.

  • Supporting emergency procedures and site rules.

10. Key Performance Indicators

Performance will be assessed across both commercial and operational responsibilities.

Key measures will include:

Men's Handpick Sales
Baseline target of £40,000 per calendar month, with continued sustainable growth encouraged.

Appointment Utilisation
Active management of available appointment capacity and proactive action to fill avoidable gaps.

Lead Conversion
Effective conversion of appropriate enquiries and leads into appointments and sales.

Repeat Business
Development and retention of strong customer relationships.

Customer Experience
Professional, knowledgeable and commercially effective service.

Stock Standards
An organised, appropriately replenished and commercially relevant Men's Handpick offering.

Warehouse Performance
Effective coordination of warehouse staff, completion of assigned work and maintenance of operational standards.

Initiative & Development
Evidence of identifying opportunities, solving problems and contributing ideas to improve the department and wider operation.

11. Authority & Accountability

The Handpick & Warehouse Supervisor will have appropriate authority to:

  • Direct day-to-day activities of warehouse staff.

  • Allocate and prioritise warehouse work.

  • Address routine performance and conduct issues.

  • Manage the Men's Handpick appointment diary.

  • Manage customer relationships within their area.

  • Apply the company's commercial price list.

  • Exercise reasonable commercial judgement when negotiating significant Handpick sales.

  • Make routine operational decisions within their area of responsibility.

Significant staffing, disciplinary, financial or unusual commercial matters should be escalated to the Operations Manager.

12. Person Specification

Essential

The successful candidate should demonstrate:

  • Previous experience supervising, coordinating or taking responsibility for other employees.

  • Strong organisational skills.

  • Confidence dealing directly with customers.

  • A commercially minded approach.

  • Strong communication and interpersonal skills.

  • The ability to sell confidently without creating a pressured customer experience.

  • The ability to prioritise and coordinate multiple activities.

  • A proactive approach to generating business and solving problems.

  • Confidence making day-to-day decisions.

  • A strong work ethic and willingness to work practically alongside the team when required.

  • Good written communication for customer emails and social media messages.

  • Basic competence with relevant computer systems and digital platforms.

  • An ability to learn quickly and take on increasing responsibility.

Desirable

The following would be advantageous:

  • Knowledge of vintage clothing.

  • Knowledge of men's fashion, streetwear, workwear or related categories.

  • Previous wholesale or retail experience.

  • Warehouse experience.

  • Previous team leader, supervisor or assistant management experience.

  • Customer-facing sales experience.

  • Experience working towards commercial or sales targets.

  • Social media experience.

Extensive senior warehouse-management experience is not required. The company is interested in candidates with the ability, attitude and ambition to develop into a larger management position.

13. Working Hours

The normal working pattern is Monday to Friday.

Summer hours: 08:00–16:00
Winter hours: 09:00–17:00

The normal position does not require weekend working.

The business operates separate weekend staffing arrangements when open to the public. On rare occasions, weekend cover may be required due to exceptional operational circumstances or staff absence. Where agreed, the working week should ordinarily be adjusted so that an alternative weekday is taken off.

14. Development & Progression

The Hub Vintage Wholesale intends this to be a role that can develop alongside the business.

The successful candidate will be given meaningful responsibility for an established commercial department while gaining broader experience in warehouse operations, staff supervision, customer management and commercial decision-making.

Strong performance may create opportunities for increased responsibility and progression into more senior management positions as the company and warehouse operation continue to grow.

The expectation is that the successful candidate will take ownership of their area, continually look for improvements and play an active role in pushing the business forward.

I use another supplier and get these vests for £3.50 a piece - I bought these to diversify and try another supplier and they're selling at the same price as the £3.50 pieces I get - making future purchases unfortunately untenable for now.
